Responsible for entering orders in a timely manner and as accurate as possible. Order entry function is not limited to just entering order but also might require other works such as web releasing, customer service, proof administration, and customer master task.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Processing Control –Quality, Efficiency, Timeliness
- Prioritize workload to ensure all business transactions can be completed and processed accurately and seamlessly
- Provides the business with feedback on procedures and guidelines in place for the order management
- Spend time on what is important, distinguishing between the critical and trivial.
- Ensure documented procedures and processes are updated.
- Constantly seeks to improve and enhance products, processes and services
- Work effectively in situations involving ambiguity, shifting priorities and rapid change
- Develop and maintain systems for organizing and information
- Maintain Material Master setup sheets.
Data Accuracy
- Responsible for entering incoming orders into the order entry system based on defined SLAs.
- Compare data entered with sources documents to ensure accurate information is entered.
- Delete incorrectly entered data and make the necessary corrections.
- Responds to all internal and external email request in a fast and effective way.
- Maintain and update accurate computerized customer records.
- Correctly process Orders, Quotes, and/or Leads in SAP or IFS for the corresponding campaign assigned to.
- Maintain a minimum required accuracy Level – per Goal Setting.
- Attached fax orders and quote request images and any corresponding required picture files to the corresponding SAP order or quote.
- Make the necessary notes in the internal or external text of the SAP order or quote to ensure other OM representatives, Customer Service Representative or Production staff can properly handle the customers’ requests.
- Ensures that targets are met within specified timelines or SLAs
- Ensures that duplicate orders are not processed.
- Perform tasks assigned by his/her Team Leader.
- Escalate quality or system-related issues to Team Leader
- Ensure that all SLAs are met.
Problem Solving – SAP System
- Utilizes support from other SAP User coordinator globally.
- Use rigorous logic and methods to solve difficult problems with effective solutions.
- Probe all fruitful sources for answers
- See hidden problems and analyse honestly and effectively
- Look beyond the obvious and do not stop at the first answer
- Generate alternative solutions and determine the implications of each, choosing the best option
- Make good decisions based on a mixture of business knowledge, analysis and judgement.
- Analyze both successes and failures for clues to improvement
- Represent interests of the team and yet to be fair to the needs of other department.
Business Support Relating to Order Management
- Contribute to the development of existing systems and processes, testing of new systems and processes
- Provide support as needed to define and document ‘business blue prints’
- Customer Service Complaint
- Orchestrate multiple activities as once to achieve a goal
- Extract data reports as required by the business.
Customer Service
- Demonstrate an understanding of customer service levels.
- Inspire and motivate team members to take pride in the quality of Order Management.
