Skills and Qualifications:
- Graduate of any four-year college course, preferably marketing or a related course.
- 2-3 years relevant experience in the real estate industry.
- Extensive software skills, internet research abilities, and strong communication skills are required.
- Background in leasing process an advantage
- Proficient in MS Office (MS Excel and PowerPoint in particular).
What You Will Do:
Accurate preparation and sending of lease agreements:
- Accurately and thoroughly prepare lease documents in accordance with the instructions provided by the leasing consultant or property manager.
- Thoroughly cross-reference details on the instructions, application, and the prepared lease to ensure precision.
- Ensure all instructions received are acted upon within the same day or advise the Head of Department immediately if this will not be possible.
Processing Applications:
- Oversee the documents submitted by the tenants, check for their validity and accuracy, and perform reference checks/database checks, including email addresses provided for all tenants.
- Effectively communicate with tenants to request further information where required and follow up regularly.
- Ensure applications are processed in accordance with the written guide provided.
- Ensure a successfully completed tenant application is thoroughly reviewed, internally approved or declined (within 24 to 48 hours).
- Ensure all completed applications are provided to the relevant leasing consultant for discussion/approval with the owner.
Entering new tenancy agreements into database:
- Act on all returned leases within the same business day or advise the Head of Department immediately where this will not be possible.
- Ensure tenants have entered accurate information, including contact details, bank details, and lease conditions.
- Follow the provided procedure for entering new tenants into the database.
- Once tenancy details are entered, assign the ongoing tenant request to the Head of Department for review before allocating to the Leasing consultant or Property Manager.
Management of Inspect Real Estate & Tenancy inquiries:
- Ensure all tenant inquiries and waiting for tenants via IRE are attended to on the same day or within 24 hours.
- Manage status changes during the application process efficiently in IRE and direct to the leasing consultant once finalized.
- Respond to tenant inquiries with the information requested as per the guide provided by the leasing consultant, which will be relative to individual properties.
- Register tenants for viewings where required.
- Send rental lists to tenants who request this.
